This page explains what personal information Vertex Building Surveys collects, why we collect it, and what you can do about it.
Who we are
Vertex Building Surveys is the trading name of Kieran Lowe, a sole trader. Kieran Lowe is the data controller for your personal information, which means he decides how it is used and is responsible for it.

What we collect
- When you contact us by the website form, email or phone: the details you give us — usually your name, email address, phone number, and information about the property and what you need.
- If you book with us: your name and contact details, the property address, the dates we agree, and a record of your payments.
- During an inspection: notes and photographs of the property. We photograph the building, not people, and we avoid personal belongings where we can.
- When you visit this website: information about how the site is used, collected by Google Analytics. See "Cookies" below.
We do not ask for health or other sensitive information. Please do not send it to us.
Why we use it, and the lawful basis
- To reply to your enquiry and prepare a quote — because you have asked us to take these steps before entering into a contract.
- To carry out the inspection, write and deliver your report, and deal with follow-up questions — to perform our contract with you.
- To keep invoices and accounting records — because the law requires us to.
- To deal with a complaint or a legal claim — in our legitimate interest in responding to it properly.
- To understand how the website is used — in our legitimate interest in running a website that works.
We do not sell your information. We do not send you marketing emails unless you have asked to receive them.
Who we share it with
Only the following, and only as far as needed:
- Netlify, which hosts this website and receives contact form submissions.
- Google, which provides our email and file storage (Google Workspace) and website analytics (Google Analytics).
- FreeAgent, our accounting and invoicing software.
- Our business bank, to receive your payment.
- HM Revenue & Customs, or a professional adviser such as an accountant or solicitor, where the law requires it or a dispute makes it necessary.
Your report is sent to you. We share it with anyone else, including the developer of your home, only if you ask us to in writing. We never use photographs of your home in our marketing.
Transfers outside the UK
Netlify and Google may store or process information outside the UK, including in the United States. Where they do, they rely on safeguards recognised under UK data protection law, such as the UK–US data bridge or the Information Commissioner's International Data Transfer Addendum.
How long we keep it
- Enquiries that do not lead to a booking: 12 months from our last contact, then deleted.
- Client records, reports and inspection photographs: 15 years from the date of inspection, because a claim about a building can be brought up to 15 years later.
- Invoices and accounting records: as long as HM Revenue & Customs requires — at least five years after the 31 January filing deadline for the tax year they relate to.
- Website analytics: no longer than 14 months, in Google Analytics.
Your rights
You can ask us to:
- give you a copy of the personal information we hold about you
- correct information that is wrong or incomplete
- delete your information
- restrict how we use it, or object to how we use it
- send your information to you, or to another organisation, in a format that can be reused
Some rights have limits. For example, we cannot delete invoices we are legally required to keep. There is no charge, and we will reply within one month. Email info@vertexbuildingsurveys.co.uk.
Cookies
Cookies are small files a website saves on your device. This website uses Google Analytics, which sets cookies to count visits and show how people move around the site. We see the results as totals and do not use them to identify you. These cookies are set only if you choose "Accept" on the cookie banner. You can change your choice at any time using the "Cookie settings" link at the bottom of every page.
Complaints
If you are unhappy with how we have handled your personal information, email info@vertexbuildingsurveys.co.uk. We will acknowledge your complaint within 5 working days, look into it without undue delay, and tell you the outcome.
You can also complain to the Information Commissioner's Office, the UK regulator for data protection: ico.org.uk/make-a-complaint or 0303 123 1113.
Changes to this policy
If the way we use personal information changes, we will update this page. The date at the top shows when it last changed.
